Scenario: Custom Fields in a Sales Order

To illustrate this, consider a system where two custom fields were added to a sales order:

  • manager info
  • manager personal

These fields were subject to different visibility and editability rules, based on the user’s role and permissions.

Defining User Scope: Who Sees What?

User scope determines which users can view a given custom field.

  • manager info field:
    This was set to be visible to “all selected” users—effectively allowing a broader group to access it.
  • manager personal field:
    Access was restricted. For example, the “second user” was explicitly excluded from viewing this field. In contrast, users like “test user” and “John Dou” (the admin) retained access.

As a result, only those granted permission through the user scope could view the manager personal field within the sales order interface.

Implementing Read-Only Scope: Controlling Editability

Visibility is only half the equation. Sometimes users need to see a field but not modify it. That’s where read-only scope comes into play.

  • In our example, the manager info field, while visible to the “second user,” was explicitly set as read-only for them.
  • This ensured that the user could view the data but not edit it.

User Experience: Enforcing Permissions

When logged in as the “second user,” the permissions took effect as follows:

  • Visible but Read-Only:
    The manager info field was present but locked for editing.
  • Completely Hidden:
    The manager personal field was not displayed at all.

This dual control clearly separates visibility (user scope) from editability (read-only scope), creating a robust permission structure.

Application Across Field Types

These principles apply not just to document-level fields like those in a sales order but also to table-level custom fields across your system.
